Refund Policy

Effective date: June 9, 2026

This Refund Policy describes the cancellation and refund terms for consulting services provided by Veridian Workplace Services ("Veridian," "we," "us," or "our"). It supplements our Terms & Conditions and any executed statement of work.

1. Scope

This policy applies to paid consulting engagements, training sessions, retainer agreements, and related professional services. It does not apply to third-party costs (travel, software licenses, or filing fees) which are non-refundable once incurred.

2. Deposits

Most projects require a deposit before work begins, typically 50% of the total engagement fee.

  • Before work begins: If you cancel in writing before we commence discovery interviews or deliverable production, your deposit will be refunded in full within 10 business days.
  • After work begins: Once discovery interviews, site visits, or draft deliverables have commenced, the deposit becomes non-refundable. Work completed to date will be invoiced at the agreed hourly or milestone rate.

3. Cancellation by client

You may cancel an engagement at any time by written notice to support@avaspass.xyz. Upon cancellation:

  • You are responsible for payment of all work completed through the cancellation date
  • Any prepaid amounts exceeding completed work will be refunded within 15 business days
  • Deliverables completed prior to cancellation will be provided upon settlement of outstanding invoices

4. Cancellation by Veridian

We reserve the right to cancel an engagement if you breach payment terms, fail to provide necessary cooperation, or if continuing the engagement would violate applicable law. In such cases, you will receive a prorated refund of any prepaid fees for undelivered work, minus amounts owed for work already completed.

5. Training sessions

Scheduled training sessions may be rescheduled with at least five business days' notice at no charge. Cancellations with less than five business days' notice forfeit 50% of the session fee. No-shows are charged in full.

6. Retainer agreements

Monthly retainer fees are billed in advance and are non-refundable. Unused hours do not roll over to subsequent months unless explicitly stated in your retainer agreement. Retainers may be cancelled with 30 days' written notice; the final month is not prorated.

7. Satisfaction and revisions

Our proposals include defined revision rounds. If deliverables do not meet the agreed scope, we will work in good faith to revise them within the contracted revision allowance. Refunds are not provided for subjective dissatisfaction when deliverables meet the documented scope.

8. Disputed charges

If you believe a charge is incorrect, contact support@avaspass.xyz within 15 days of invoice date. We will investigate and respond within 10 business days.

9. Refund method

Approved refunds are issued to the original payment method. ACH refunds may take 5–10 business days to appear. Credit card refunds are processed within 5 business days and may take additional time to reflect on your statement.
